This page describes the personal data Forterro's portfolio companies collect and manage within its IT systems/platforms, as well as all third-party systems Forterro's companies integrate with or leverage in order to access personal data. It also outlines what security measures we take to protect the integrity of your personal data.

What type of personal data does Forterro's companies collect? 

We collect and use information that you chose to give us when you, for example, download a document, register for an event, or contact a customer support agent. We may ask you to provide us with your name, phone number, and email address. In some cases, for example when registering for an event, we may ask for additional information, such as your title and dietary requirements. Whenever we ask for personal data, our primary objective is to enhance and personalize your experience with our company and our solutions. 

We may also collect information about you which we receive from other sources, such as external partners and other third parties. The information collected from other sources is collected on the provision of your consent.

Forterro does not control the content that you may post to its companies' community forums or social networks; in some cases, such content may be publicly available on the Internet. For example, our companies subscribe to services offered by LinkedIn in order to recruit employees, as well as learn more about persons who may have a legitimate interest in them and their solutions. These services are available to us based on your consent and participation on LinkedIn, as well as how you have chosen to configure your personal profile. You should carefully consider whether or not you wish to submit personal information to forums or social networks, as well as whether or not you wish to make your profile available to other users. 

Please note that the collected personal data mentioned above is not exhaustive and that Forterro's companies may also collect and process personal data to the extent this is useful or necessary for the provision of our services. 

Why do Forterro's companies collect and use your personal data? 

Customer Support: Customer support collects and processes information about you so that when you contact us regarding an incident or ticket, we can report back to you in a timely and efficient manner. 

Marketing: Our marketing team processes limited personal data in order to ensure that the promotional and educational content provided to you (e.g., emails, newsletters, webinars) is relevant. 

Sales: Aligning personal data with individual goals and objective helps our sales team offer your business the best possible solution. Sales holds and manages personal data of contacts associated with customer accounts in order to manage the customer relationship. If you are not yet a customer but we see a potential future relationship, our sales team may contact you. During the first point of contact with our sales team, you have the right to request to be removed from our records. If you do wish to be removed, just tell our team and they will process your request immediately. 

Professional Services: If you are a customer of one of our portfolio companies, our consultants will process your information in order to fulfill their duties as part of your Service Agreement. 

Human Resources: If you have applied for a job at one of our portfolio companies or have registered your information in the career site for a potential future job opportunity, please read each company's separate privacy policy on recruitment.

When we process your personal data, we do so on the following legal basis:

  • Performance of a contract: The use of your personal data may be necessary to perform the contract that you have with one of our portfolio companies. For example, when you register a ticket with support, we use your information to fulfill our duty under the relevant support agreement. 
  • Consent: We may, with your consent, process your personal data for specifically expressed reasons. You can withdraw your consent at any time provided that there are no legal obligations for us to continue processing the data.
  • Legal obligation: In certain cases, we may need to process your data to handle and resolve legal disputes, for regulatory investigations and compliance, or to comply with lawful requests from law enforcement or other official authorities. 

How do we share your information with third parties? 

In certain circumstances, we will share your personal data with third parties.

Forterro India has access to read-only personal data required to resolve support tickets. In accordance with our standard support and maintenance agreements, we do not store, manage, share, or remove any personal data in India. We may need to download a customer’s database in cases where we need to perform extensive testing. Downloading a customer database will only occur when we have explicit approval from a customer. In those cases, we do not store, manage, share, alter or remove any personal data kept within the database after the ticket is closed.

As we have integrated our products with other systems we work together with third party partners to provide the best possible product for our customers. In certain cases, we may need to provide our third-party partners with your personal data in order for them to contact you regarding the use and integration of their product. We will always ask for your permission before doing so.

When we arrange external activities, such as events, we may need to share your information with external parties, such as event coordinators and facility providers. In those cases, we will only provide any information deemed necessary in order to provide you with the best experience during your meeting with us. Any sensitive information you provide us, such as allergies or other health-related information, will only be shared in accordance with local laws.

We often publish pictures and videos of our customers (typically either at their facility, our offices, or at an event). Any personal data, including images, used for promotional or educational purposes is governed by our Media Release agreement, which can be revoked by an individual at any time by contacting the marketing department.

We use recruiting firms in the process of finding a new colleague. If you want to read more, please read our separate privacy policies on recruitment.

We use third-party system providers (such as, marketing automation systems, CRM systems, Professional Services automation systems, web site tracking systems, etc.), to process data about our customers or future potential customers. Third party system providers are bound by confidentiality clauses and Data Processing Agreements and are not allowed to process your personal data for other purposes than those instructed by one of our companies. All personal data stored and managed in these systems is encrypted and secure. All systems are GDPR compliant, and we have processes in place to handle personal data removal by request, as well as the permanent removal of personal data no longer being used.

We disclose personal data to law enforcement insofar as it is required by law or is strictly necessary for the prevention, detection or prosecution of criminal acts and fraud or if we are otherwise legally obliged to do so. We may need to further disclose personal data to competent authorities to protect and defend our rights or properties, or the rights and properties of our business partners.

When third parties are given access to personal information, we will take appropriate contractual, technical and organizational measures designed to ensure that personal information is processed only to the extent that such processing is necessary, consistent with this Privacy Policy, and in accordance with applicable law.

What security measure do we take to safeguard your personal data? 

In accordance with GDPR, we observe reasonable procedures to prevent unauthorized access to, and the misuse of, personal data.

We use appropriate business systems and procedures to protect and safeguard the personal data you give us. We also use security procedures and technical and physical restrictions for accessing and using the personal data on our servers. Only authorized personnel are permitted to access personal data in the course of their work.

How can you control the personal information you have provided to us? 

We take responsibility for your personal data very seriously. You have the right to review the personal information we keep about you. This cookie name is associated with Google Universal Analytics, which is a significant update to Google's more commonly used analytics service. This cookie is used to distinguish unique users by assigning a randomly generated number as a client identifier. It is included in each page request in a site and used to calculate visitor, session and campaign data for the site’s analytics reports. By default, it is set to expire after 2 years.

This cookie name is associated with Google Universal Analytics. It is used to distinguish users from one another. (Expires: 24 hours)

This cookie keeps track of sessions. This is used to determine if we should increment the session number and timestamps in the __hstc cookie. It contains the domain, viewcount (increments each pageview in a session), and session start timestamp. (Expires: 30 min)
